What to expect in an interview

Congratulations on your interview invitation!

You will receive 2 emails:

  • 1st email: confirms you have been selected and provides location, parking, and public transit information
  • 2nd email: shares the interview date, time, location, and interviewer names
    • some candidates may be asked to choose a time from a calendar
    • for virtual interviews, the 2nd email will include a Microsoft Teams link

Remember to check your inbox and junk mail folder. The emails will be from Talent Pool Builder (no-reply@talentpoolbuilder.com).

Interview format

Here is what to expect during your interview:

  • interviews are either in person at a city facility or virtual using Microsoft Teams
  • you will meet with at least 2 interviewers; we will share their names and titles in advance
  • we will share more about the position and ask a mix of behavioural and technical questions
  • for in-person interviews, please limit fragrances due to allergies or sensitivities

Preparing for virtual interviews

Follow these steps to get ready for a virtual interview:

  • make sure your browser supports third-party cookies and Microsoft Teams
  • test your camera and microphone before the interview
  • use the Microsoft Teams link from your invitation to join at the scheduled time

What to wear

Choose clothing that is appropriate for municipal business while still reflecting your personal style.

Need to reschedule?

If you need to cancel or reschedule, email recruitment@waterloo.ca as soon as you can.


Prepare your employment references

If you move ahead in the process, we will ask you to submit your references through an online form.

We ask that you:

  • provide contact information for at least 2 references (3 preferred)
  • include at least 2 current or past managers or supervisors, if possible
  • if you do not have work experience, you can list teachers, volunteer supervisors, or coaches
  • do not list relatives or family members

We will email your references directly. You will need to:

  • share their email addresses with us
  • remind them to check their inbox and junk mail folder for an email from Talent Pool Builder (no-reply@talentpoolbuilder.com)

Recruitment policy and use of AI

Our Recruitment Policy (PDF) explains how we ensure a fair, transparent, and inclusive hiring process. It focuses on removing barriers to employment and encourages applications from diverse and underrepresented groups.

We use an artificial intelligence (AI) tool to help organize and highlight relevant work history in resumes. This tool does not make hiring decisions. All decisions are made by city staff.
