Renew your rental licence

You need to renew both long-term and short-term licences annually. Follow these steps to renew.

First time applying? Apply for a long-term licence (over 30 days) or a short-term licence (30 days or less, e.g. Airbnb). 


New rental licensing requirements start July 1

Review this page to make sure you have the right documents and information before you renew.


1. Find your renewal date

The first renewal is on March 31. After that, licences renew based on the property’s street name:

  • A to D renew on March 31
  • E to M renew on August 31
  • N to Z renew on November 30

The first renewal fee will be prorated to cover the time between March 31 and your assigned renewal date – for example, 16 months for an August 31 renewal or 20 months for a November 30 renewal.


2. Prepare your documents

Review the table to find the documents required for your licence class and situation.

Highlighted rows include new or updated requirements that took effect on July 1, 2026.

Required documents to renew a rental housing licence

Required every year.

Must be dated within the past 12 months.

Update 

Certificate of Insurance - Form C (PDF)

All applicants

For licence renewals due on August 31, 2026, November 30, 2026, or March 31, 2027.

Update

Gas or oil heating appliance inspection - Form E (PDF)
– must be completed by a licensed gas fitter

OR

Declaration of no gas or oil-fueled appliances - Form F (PDF)

All applicants

Must be dated within the last 12 months.

For licence renewals due on August 30, 2026, November 30, 2026, or March 31, 2027 and every other year after that.

Electrical system inspection - Form D (PDF) All applicants

Required every 5 years.

Must be dated within the past 12 months.

Must be completed by a licensed electrician.

 


3. Renew online or in person

Renew using our online application. Pay with a credit card.

You can also renew in person:

  • bring all your documents to the Municipal Enforcement counter, first floor of City Hall
  • pay with cash, debit, credit, cheque or money order (payable to City of Waterloo)

4. Pay renewal fees

Fees depend on the type of rental unit.
